What if you could grow a profitable business without working full-time hours?

As a busy mom and business owner, I’ve built a service-based business that allows me to work 20 hours a week (or less)—and it’s not because I have superpowers. It’s because I’ve embraced systems, strategy, and some of the best automation tools available to streamline and simplify my workweek.

If you’re a mom entrepreneur who’s tired of feeling like you’re running on empty, keep reading. I’m pulling back the curtain on the exact tools and tactics I use to save time, avoid burnout, and keep my business running smoothly—without sacrificing family time.

Why Automation Tools Are a Non-Negotiable for Mom Entrepreneurs

When your work hours are limited, your tools need to work for you. The best automation tools don’t just save you time—they remove entire categories of repetitive tasks from your plate so you can focus on what truly moves the needle.

I don’t use tech just because it’s trendy. I use it because it helps me:

  • Reclaim my time

  • Serve clients efficiently

  • Launch faster

  • And avoid decision fatigue

Now let’s break down the exact tools that allow me to operate a lean, flexible, and sustainable business—on a mom’s schedule.

The Best Automation Tools That Power My 20-Hour Workweek

1. Airtable – My Business Brain

Airtable is one of the best automation tools in my business. I use it to:

  • Plan content

  • Track collaborations and launches

  • Onboard clients

  • Manage digital product promos

It’s more than a spreadsheet—it’s a visual database with automation built-in. I can trigger actions like sending client emails or updating task statuses without lifting a finger. Bonus: It integrates beautifully with Zapier (which we’ll talk about next).

2. ClickUp – Streamlined Project & Task Management

ClickUp is my go-to tool for managing podcast production, launches, client deliverables, and team collaboration.

I’ve created templates for every recurring project, which means I never have to reinvent the wheel. Paired with its built-in automations (like due date reminders or status updates), it saves me hours each week.

3. Zapier – The Ultimate Behind-the-Scenes Time Saver

Zapier connects everything and makes my tech stack work together. It’s hands-down one of the best automation tools for solopreneurs and service providers.

Here are just a few of the ways I use it:

  • When a client signs a contract → Create a folder in Google Drive

  • Approve a speaker in Airtable → Automatically tag them in ConvertKit and trigger a welcome email

  • New podcast launch client → Add them to my Slack workspace + kickoff checklist

One well-crafted Zap can replace hours of manual admin work every month.

4. ThriveCart + LearnPlus – Sell & Deliver Digital Products Automatically

With ThriveCart and LearnPlus, I can sell my digital offers without being “on” 24/7. These platforms automate:

  • Product delivery

  • Order bumps and upsells

  • Access to member portals

It’s all seamless and helps me make passive income while keeping customer experience top-notch.

5. Loom – Quick, Clear Client Communication

Instead of booking a call for every question, I use Loom to record walkthroughs and trainings for my clients. It’s especially helpful for visual explanations and allows both me and my clients to communicate on our own time.

This asynchronous approach saves hours and reduces Zoom fatigue—making Loom one of my favorite time-saving tools.

6. Slack – Inbox-Free Client & Team Messaging

I’ve shifted all client and team communication from email to Slack, and the result has been incredible. No more digging through emails. No more lost threads.

Slack keeps communication fast, focused, and easy to organize. It’s not an automation tool in the traditional sense, but it feels like one when you consider how much time it saves me daily.

7. Canva – Fast, On-Brand Visual Content

As someone who’s not a designer, Canva is my go-to for whipping up podcast graphics, social promos, lead magnets, and more. With my branded templates ready to go, I can create content in minutes instead of hours.

If content creation is draining your time, Canva is easily one of the best automation tools for visual marketing.

Strategy + Automation = Real Time Freedom

Using the best automation tools only works when paired with intentional strategy. Here are three more habits that help me maintain my 20-hour workweek:

✅ Time Blocking

I group similar tasks (like client calls, admin, or content creation) into blocks to reduce context switching and stay in flow.

✅ Simplified Offer Suite

I’m not selling 12 different offers. I focus on a small, clear suite that I can support efficiently.

✅ Seasonal Planning

I align my launches and workload with my family’s schedule and energy. Not every season has to be a sprint.
